GRADUATE RECORDS AND REGISTRATION MANAGER
Graduate College, Graduate Student Academic Services University of Illinois at Urbana-Champaign

Description

The Graduate Records and Registration Manager in the Graduate College is a regular 12-month, full-time (100%) academic professional reporting to and working closely with the Assistant Dean to manage, supervise and coordinate the Registration and Records subunit of Graduate Student Academic Services (GSAS).  The Manager will supervise staff and have oversight for the graduate student petition, registration, and records processes.  The Manager will oversee the daily processing flow for these and associated areas and will coordinate services with departments and administrative offices. 

Manage the Records and Registration Unit

  • Develop and maintain a customer service environment and incorporate continuous quality improvement strategies for the  Records and Registration unit to provide appropriate, courteous, and dependable service for UIUC students, faculty and staff
  • Oversee daily operations of the registration and records unit
  • Identify and suggest areas for improving services and procedures
  • Oversee graduate student petition process
  • Reviews and makes decisions on petitions
  • Researches petitions for the Assistant Dean
  • Oversee graduate records and registration procedures and policies, including updating and maintaining procedures.  Develop and maintain internal procedures manual for each position in the unit.
  • Coordinate the academic/operational calendar relating to Records and Registration functional areas
  • Coordinate record maintenance and oversee the design and implementation of the document imaging system process for compliance with retention requirements for the official student record, including petition documents for graduate students
  • Oversee end-of-term processes, including Academic Standing
  • Establish, coordinate, and maintain internal statistics related to all services provided

Personnel Management

  • Participate in the selection process, train and provide direct supervision of Records and Registration Specialists who support graduate records and registration functions, including petitions.  In conjunction with the Assistant Dean, approve leave requests according to Graduate College and unit policies
  • Develop a strong records and registration team
  • Supervise daily workflow of records and registration staff
  • Identify staff development opportunities
  • Mentor staff
  • Provide on-going feedback to staff and conduct annual performance evaluations

Coordinate and communicate with graduate programs and campus administrative offices

  • Develop and maintain strong communications with graduate departments, campus administrative offices and students via phone, email, and in person regarding Graduate College policies and procedures
  • Attend college and campus-wide meetings regarding records and registration issues.  Represent the Graduate College as the official representative, as appropriate.
  • Work closely with graduate departments and the Office of Admissions and Records to coordinate and improve services
  • Work closely with Office of Admissions and Records regarding records and registration functions
  • Develop, participate in, and lead policy and process training on records, registration and petitions for staff in graduate departments through written materials, the Web, and workshops
  • Assist students who have questions about Graduate College policies and procedures

Other duties may be required to meet the changing needs of the University

QUALIFICATIONS
Required: Bachelor's degree is required with at least three years of directly related experience with increasing managerial responsibility. Experience in a university setting is required working in an area such as registration, records, admissions, financial aid, or academic advising. The successful candidate must have strong management skills and significant experience with Enterprise Resource Planning software such as SCT Banner. The individual will have proven ability to interpret and execute academic policy; to develop and write procedures that correspond and adhere to policy; and to provide and coordinate services with multiple departments and administrative offices.  
Preferred: Experience at a large public university. Demonstrated experience with academic records and registration, electronic records systems, and personnel management.  Demonstrated experience with process evaluation.
